Role of the Campus Property Coordinator

Each campus will designate an employee as property coordinator.
The property coordinator shall have overall responsibility on the campus for establishing internal procedures for property management and property control.

Typically, the property coordinator's responsibilities include:

  • Ensure compliance with all statewide property policies and procedures
  • Establish and maintain consistent, documented procedures for managing property activity within the unit
  • Inform and support departmental property custodians regarding their responsibilities
  • Enter and reconcile all asset additions, transfers, and disposals in the system
  • Conduct the annual physical inventory and coordinate departmental inventory activities
  • Coordinate the tagging of new controlled property with identification numbers (Campuses with a central receiving department may tag property upon receipt)
  • Identify and tag any controlled property that has been purchased but not yet tagged
  • Maintain current and accurate property records
  • Provide departments with up-to-date property listings
  • Review disposal requests to confirm that property title rests with the university
  • Ensure compliance with all federal property management requirements
  • Verify inventory accuracy through random sampling
  • Coordinate or conduct approved sale procedures for surplus property after authorization from the chief procurement officer
